Client Problem:
A tier-1 bank struggled with manual, email-driven governance processes—data-usage approvals, policy attestations, data quality issue remediation, and onboarding. SLAs were unclear, audit evidence was fragmented, and compliance teams lacked end-to-end visibility (BCBS 239, privacy). The client needed standardized, automated workflows in Collibra with clear ownership and metrics.

Steps to Solve the Problem:

  • Discovery & Process Mapping:
  • Interviews and shadowing across Risk, Finance, and Data Offices to baseline current processes and pain points.

    Defined target SLAs, escalation rules, and audit data for each workflow type.

  • Workflow Design (BPMN 2.0):
  • Modeled approvals (data access/usage), policy attestations, issue management, and onboarding in BPMN.

    Specified roles, inputs/outputs, timers, and exception handling with clear RACI.

  • Build & Integration:
  • Implemented Collibra workflow tasks, custom forms, and Groovy scripts; integrated REST/Java APIs and Edge.

    Enabled SSO/SCIM, role-based routing, notifications, and attachment/evidence capture.

  • Controls & Metrics:
  • Embedded SLA timers, audit trails, and dashboards for throughput, aging, and bottlenecks.

    Linked requests to glossary terms, CDEs, and policies for full traceability.

  • Testing & Rollout:
  • UAT with business stewards and compliance; performance and failover tests.

    Phased go-live, runbooks, and hypercare with backlog grooming for enhancements.

  • Training & Change Management:
  • Targeted sessions for requesters, approvers, and stewards; comms toolkit and quick-reference guides.

    Adoption KPIs agreed with the Data Office and tracked in operational reviews.
